Refund Policy

The Oregon League strives to put on world class events and provide all of our constituents with the best resources possible. To achieve the best resources, we make a financial investment to cover insurance, training, and planning activities. Those expenses are continuously incurred and are only partially covered by the participation fees into the league. In order to maintain the sustainability of the Oregon Interscholastic Cycling League, it is necessary we implement a NO-REFUND policy.

Weather Policy

  • Races are held on their scheduled dates unless the race course on the day of the race is deemed un-rideable and dangerous.

  • The league will have the option to delay the start of a race from the published times if the weather has created dangerous conditions.

  • Courses and/or lap lengths may be altered or shortened because of weather conditions. Last minute changes will be broadcast to racers at the start of each wave via the race announcer. If conditions require a change in number of laps during a race, a person will be stationed at the lap line advising riders of the change.

  • The league will develop a wet-weather course alterations in case of extremely wet conditions that threaten the trails used for the race.

  • All racing will stop immediately in the presence of lightning as signified by the chief referee. Racing may continue once the league director, chief referee, and the head timer have conferred.

  • Re-starting a race that has been stopped due to lightning;

    • depending on schedule and number of laps completed, the race may be declared over

      • if time permits, racers will be able to resume laps beginning from the lap line

  • Communication of delays, changes in start time, courses, and so on will be made by the League as follows:

    • on the league web site (prior to the race day, if possible

    • on the public address system on the race day

    • via forms of social media

  • League will not refund pre-registration fees due to inclement weather.

  • League does not allow registration transfers to subsequent races due to inclement weather.

  • Smoke and AQI - If the AQI is over 100, we will alter the lap count for riders and consolidate the race schedule to allow as many student-athletes to safely start the race. If the AQI is above 150 at any time during an event, we will cancel the remaining wave starts to ensure the well-being of our attendees and staff. AQI Contingency Plan

Here’s what to expect:

At 5:45 AM on race day (both Saturday and Sunday), we will check AQI levels measured at the race venue’s closest AirNow sensor. This is the source for air quality data we'll use all weekend.

If levels are below 150, we’ll send an email to the league announcing that the race is on. If the AQI is 150 or above, we will send an email that the race is cancelled. You can expect this announcement by 6:00 AM through email and by checking our landing page.

What happens if the race is on?

We’ll check the AQI again onsite at 7:30 AM, and announce which of these protocols we'll follow for the day:

  • Race option 1 -- If AQI at 7:30 AM is 100 or below, we race with standard lap counts and start times. (Unless this changes significantly; see note below.)

  • Race option 2 -- If AQI at 7:30 AM is 101-150, then we race the following modified schedule: Wave 1 starts @ 8:30 AM, Wave 2 starts @ 9:00 AM and Wave 3 starts @ 9:30 AM with all riders doing one lap.

  • Race option 3 -- If AQI at 7:30 AM is 150 or above, we will cancel all events for the day.

  • Opt-out for sensitive groups -- If you are present and would rather not race in conditions described by Option 2, please come to the registration table and let us know. We will factor this into call-ups for the next race, so you won’t lose your call-up position.

Note: If at any point throughout the day the AQI goes over 150, we will cancel the rest of the racing on that day. For scoring purposes, we’ll give points for fields that had the opportunity to complete a race. We will not hold a podium ceremony at that venue but will recognize podium finishers at the next race weekend.

What happens if the race is cancelled?

If the AQI level is 151 or above at 5:45 AM on race day, we’ll send an email saying the race is cancelled. You can expect this email by 6:00 AM.

In the event we cancel a race, season scoring and State Champs qualification will change to reflect this. For example, if we cancel, a rider would only need to start two of the three other races in order to qualify for State Champs.
